How to Automatically Export WordPress Users to Google Sheets

In this tutorial, we will show you how to automatically export WordPress users to Google Sheets. You’ll be able to schedule automatic exports for a future date and time. These automatic tasks will run in the background, and you’ll be notified by email to let you know when the process is complete.

You will need just a few clicks to connect your WordPress website to your Google Sheets account. After that, you will be able to automatically export user profiles to Google Sheets.

For this, we will use the WP Sheet Editor plugin and the Google Sheets Sync service (provided by wpsheeteditor.com).

WP Sheet Editor allows you to view and manage your WordPress users using an intuitive spreadsheet on WordPress.

Google Sheets Sync allows you to connect any WP Sheet Editor spreadsheet to your Google Sheet account in order to export and import data.

Once you sign up to the Google Sheets Sync service, you will receive a helper plugin that will allow you to connect your WordPress site to your Google Sheets account, the Google API, and the WP Sheet Editor API.

Open the WordPress users spreadsheet

You can open the WordPress users spreadsheet by following any of these two ways:

  • You can go to Users > All users and click on the Open in a spreadsheet button
  • You can go to WP Sheet Editor > Edit users

Open the “Export” tool

You need to start by opening the Export tool.

Now you need to decide which type of export you want to schedule. Below, we explain each type of export.

Option 1 – One-time export to Google Sheets

Automatic one-time exports will run at the selected date and time. They will run in the background, and when the process is complete, you will receive an email notification.

To schedule one-time exports to Google Sheets, you need to select these values:

  1. Select the columns you want to export
  2. Select the columns you want to export
  3. Select the Google Sheets app
  4. Enter a name for this scheduled one-time export
  5. Tick the Run this in the future checkbox
  6. Select the date and time when you want this export to run automatically
  7. Add an email address to get notified by email when the export process is completed
  8. Select the Run once option
  9. Click on Start new export

Once you do that, your one-time export will be scheduled and added to the list of scheduled jobs.

Option 2 – Recurring export to Google Sheets

Our Google Sheets Sync service allows two types of recurring exports:

  1. Normal – This type of recurring export will process all rows and create a new Google Sheets file every time a recurring interval runs. For example, a new Google Sheet every hour. It will export both the previously exported rows and the rows you have added since the previous export.
  2. Recurring – This type of recurring export will process and export only the new rows that have been added since the previous recurring interval. The first export will process all the rows, but from the second export on, only new rows will be added to the same Google Sheet.

You need to select these values to schedule recurring exports:

  1. Select the columns you want to export
  2. Select the columns you want to export
  3. Select the Google Sheets app
  4. Enter a name for this scheduled one-time export
  5. Tick the Run this in the future checkbox
  6. Select the date and time when you want this export to run automatically
  7. Add an email address to get notified by email when the export process is completed
  8. Select the Run in recurring intervals option
  9. Click on Start new export

Once you do that, your recurring export will be scheduled and added to the list of scheduled jobs.

Option 3 – Real-time export to Google Sheets

Real-time exports from Google Sheets Sync service are the best way to synchronize WordPress with Google Sheets. You can create two types of real-time exports:

  • From WordPress to Google Sheets. After the export is run, the service will listen for changes made on WordPress and update the Google Sheet automatically every time you edit users or add new users.
  • Bidirectional. After the export is run, the service will listen for changes made on WordPress and changes made in Google Sheets, and will automatically update either WordPress or Google Sheets, depending on where the changes were made.

You need to select these values in order to schedule real-time exports:

  1. Select the columns you want to export
  2. Select the columns you want to export
  3. Select the Google Sheets app
  4. Enter a name for this scheduled one-time export
  5. Tick the Run this in the future checkbox
  6. Select the date and time when you want this export to run automatically
  7. Add an email address to get notified by email when the export process is completed
  8. Select the Real time sync option
  9. Select the type of sync: From WordPress to Google Sheets only or bidirectional export
  10. Select the column you want to use as an identifier. In this case, we will select the ID column.
  11. Click on Start new export

Once you do that, your real-time export will be scheduled and added to the list of scheduled jobs.

View and manage your scheduled exports

All automatic exports will be added to the scheduled tasks popup.

As you can see in the screenshot below, you can have several exports scheduled simultaneously.

Open your exported Google Sheets file

When an export process is completed, you will receive an email notifying you that the export is complete.

You will receive an email like the one below every time a one-time export is completed, every time a recurring interval is exported, or every time a real-time export is completed for the first time. You will not receive emails when changes are automatically updated in real-time exports.

The notification email will contain the details of the export, the link to open the generated Google Sheet, and the link to download the log file of this scheduled task if desired.
