In this guide, we will show you how to bulk edit WP Fusion product tags in WooCommerce, using an intuitive spreadsheet. This is really useful if you use WP Fusion to connect your WooCommerce store with your CRM or marketing automation system.
WP Fusion (lite version) product tags are great because they let you automate email sequences, control access to content, and personalize customer journeys, all based on what your customers buy or interact with.
However, there’s one big drawback: managing WP Fusion product tags manually is really difficult.
Updating WP Fusion settings for hundreds of products means opening each product, scrolling to the WP Fusion tag settings, adding tags, and saving the changes… over and over again. It’s tedious and inefficient.
That’s where WP Sheet Editor comes in.
WP Sheet Editor is a spreadsheet bulk editor that allows you to easily manage your WooCommerce products. You can search for products using any field as a search filter, bulk edit any field on hundreds or thousands of products, as well as export and import product data using CSV files. It’s your all in one solution for managing WooCommerce products like a pro!
And in this tutorial particularly, you’ll see how easy it is to bulk manage WP Fusion tags across thousands of WooCommerce products. No more clicking through product pages one by one.
You can download the plugin here: Download WooCommerce Products Spreadsheet Plugin - or - Check the features
Besides the WP Sheet Editor plugin, you need to install the free “WP Sheet Editor – WP Fusion” extension.
This free extension will add the necessary columns to WP Sheet Editor, which will allow you to manage WP Fusion fields in the spreadsheet.
Note – We assume you have already set up the WP Fusion plugin on your website, and have created some WP Fusion product tags.
Open the products spreadsheet
After installing both the plugin and the extension, you need to open the products’ spreadsheet, by going to WP Sheet Editor > Edit Products.
You’ll see a spreadsheet containing all the WooCommerce products together with their complete information.
View WP Fusion fields in the spreadsheet
The spreadsheet automatically displays WP Fusion fields as columns. For example, you can see the following columns:
Apply tags when purchased: In this field, you can select the tags that will be applied to customers when they purchase this product.
Apply tags when refunded: In this field, you can select the tags that will be applied to the customers when they ask for a refund and the refund is completed.
Apply tags when transaction failed: In this field, you can select the tags that will be applied to customers when their transaction fails.
Please note that all the WP Fusion columns will have the “WPFusion” prefix; this allows for more order in the spreadsheet.
Besides the three columns for WP Fusion product tags, here’s the complete list of WP Fusion columns you’ll see in the spreadsheet:
- Require login: Only logged-in users can view the product. If the user is not logged in, access is denied.
- Redirect to post if access denied: If the user doesn’t have access to the product, they will be redirected to a specific post or page. Enter the post ID here.
- Redirect to URL if access denied: If access is denied, redirect the user to a specific URL (e.g., login page, membership offer, or explanation page).
- Delay before adding tags: Wait this number of miliseconds after the product is viewed before applying view-based tags. Useful for tracking engaged views only.
- Require tags (any): The customer must have at least one of the selected tags in their CRM profile to view the product.
- Require tags (all): The customer must have all of the selected tags to access the product.
- Apply tags when a user views this post: When someone views the product, the selected tags will be applied to their CRM profile. Great for tracking interest or triggering automations.
- Remove tags when a user views this post: When the product is viewed, these tags will be removed from the customer’s CRM profile.
- Required tags for variation: Only customers with specific tags can see or buy this product variation (used for personalized offers within variable products).
- Apply tags when variation is purchased: When this variation is purchased, these tags will be added to the customer’s CRM record (can trigger onboarding or unlock next steps).
Optional: Create a custom WP Fusion workspace
WP Sheet Editor is designed to simplify your work as much as possible. And in this case, you can easily work with WP Fusion columns.
Option 1: Easily locate WP Fusion columns
If you want to locate WP Fusion columns, just use the “Locate column” field, type “WPFusion”, and you will see the list of related columns, from which you can select the one you want to locate.
Option 2: Create a set of columns for managing WP Fusion fields only
If you don’t want to use all the columns and instead want to create a set of columns for the WP Fusion plugin (like a custom workspace), you can use the Columns Manager.
You just have to move all the columns from the Enabled to the Disabled side.
Make sure you keep the Title column, as well as all the WP Fusion related columns.
Once you’re done hiding all the unnecessary columns, you need to save the changes:
- Tick the Save these settings for future sessions checkbox.
- Add a name for this column settings.
- Click on Apply settings.
Now you’re ready to start bulk managing WP Fusion product tags in the spreadsheet.
Edit WP Fusion product tags in the spreadsheet
If you want, you can edit WP Fusion tags using the spreadsheet.
Go to the column you want to edit and start adding, replacing or changing the WP Fusion tags on all the products you want to modify.
When you double-click on a specific cell, you’ll see all the available WP Fusion tags.
You can also autofill cells as you do in Excel or Google Sheets. And once you’re done editing all the products you want, click on Save to apply the changes.
Managing WP Fusion data in the spreadsheet is great. You can forget about opening and editing one product at a time.
Bulk edit WP Fusion tags on WooCommerce products
Besides editing data in the spreadsheet, WP Sheet Editor allows you to bulk edit any field on hundreds or thousands of products at once.
Let’s suppose you want to add specific WP Fusion tags to all the products in a specific category, or to all the products containing a specific attribute, or to all the products within a specific price range. You can do that by filtering the products and then bulk editing the WP Fusion fields.
In this example, we will show you how to bulk edit WP Fusion product tags on all the products within the Gear category.
To do this, we need to start by opening the Search tool.
Once you’re in the search tool, you need to add the search filters you will use to find specific groups of products. In this case, we will add the “Gear” category as a search filter.
- Enter product categories: Let’s add the “Gear” category here.
- Click on Run search.
After filtering the products, all the items matching the selected search filters will be displayed in the spreadsheet. You can see the Active filters above the spreadsheet.
Now you need to open the Bulk Edit tool.
Once you’re in the Bulk Edit tool, you need to select these values to bulk update WP Fusion product tags in all the selected products:
- Select the rows that you want to update: We will edit all the rows from our current search.
- What field do you want to edit: Here we need to select the WP Fusion field we will bulk update. In this example, we will select the Apply tags when transaction failed field.
- Select type of edit: Here you have several options:
- Set value: It replaces the current values with the new values.
- Replace: Use it to replace specific WP Fusion tags.
- Clear value: It removes the values in any of the WP Fusion fields.
- The next field will depend on the type of edit you’ve selected. In this example, since we’ve selected the Set value type of edit, we will see a field where we will need to add the new value (Replace existing value with this value).
- Note: You can add two or more WP Fusion product tags by separating them with commas.
- Select Edit only parent products.
- Click on Execute Now to bulk update values in your selected WP Fusion field. In this case, we’re bulk editing the WP Fusion tags that will be added to customer profiles when their transaction fails.
Once the process is finished, you can see that the new values have been applied. In this case, we have added two WP Fusion product tags to our products.
And if you check your edited products, you’ll see that the tags have been correctly added.
How to export or import WPFusion tags quickly
Another way to bulk manage WP Fusion product tags in WooCommerce is by exporting and importing the products data.
Let’s suppose you’ve hired someone who doesn’t know how to use WordPress, but does know how to use Excel.
You can export your products with WP Fusion tags to a CSV document for quick editing, and then you can quickly import them into WordPress.
Export WP Fusion tags
Open the Export tool with one click on the top toolbar.
Second, select the following values to configure the export:
- What columns do you want to export: You can select all columns, all active columns, or enter columns manually. In this case, we will export these columns:
- Name
- Apply tags when purchased
- Apply tags when refunded
- Apply tags when transaction failed
- Which columns do you want to export: We will export all the rows that we selected manually in the spreadsheet, but you can export all the rows, or all the rows displayed as a result from a search.
- What app will you use to edit this file: Select any of the available options.
- Name of this export (Optional): Enter a name if you want to save these settings for future exports.
- Click Start new export. The CSV will be downloaded to your computer.
Now you can edit WP Fusion product tags in the CSV file. You can add new tags, remove specific tags, replace, etc.
Import WP Fusion tags
Once you’ve applied all the changes you want to your WP Fusion tags in Excel or Google Sheets, you need to follow these steps to import the products to WordPress:
1- Open the Import tool.
2- Choose the file you’ll import
- Source: CSV File from my computer
- Click Choose File and select the CSV file from your computer
- Click Next
3- Click Import all the columns.
4- Configure the import:
- Do you want to update or create items: In this case, we will update existing items and ignore new items.
- Since we will edit existing products, we need to match the data in the CSV with the data in WP Sheet Editor, so we will use these fields to match the products:
- CSV Field: record_id
- WordPress Field: ID
- Click Next.
5- You’ll see a preview. If it’s OK, click The preview is fine, start import.
That’s how you can bulk import WP Fusion product tags from a CSV file. It’s a great way of simplifying your work.
As we’ve shown you in this post, editing WP Fusion tags with a spreadsheet is really easy and fast.
You just need to open the spreadsheet, select the products you’ll edit, and apply massive changes.
You can also export all your products to Excel or Google Sheets and then import the changes back to WordPress with a few simple steps.
