In this post, we’ll see how to bulk edit post restrictions quickly using an intuitive spreadsheet that allows you to edit hundreds of posts at once.
With this method, you won’t have to open and edit all your posts one by one, but can quickly apply changes to hundreds of posts at once. For example, you can restrict all posts written by a specific author or all posts containing a specific category so that only premium members can access them.
You need two plugins for this tutorial. The first is Paid Memberships Pro, which allows you to create membership levels and restrict content for users subscribed to your membership plans.
The second plugin you need is WP Sheet Editor.
Note. This tutorial works with all the membership plugins for WordPress including Paid Membership Pro (PMPRO), Restrict Content Pro, Members, etc. In this tutorial, we will focus on Paid Memberships Pro as an example.

Download Posts, Pages, and Custom Post Types Spreadsheet Plugin – or – Check the features
After installing and activating the WordPress Posts, Pages, and Custom Post Types Spreadsheet plugin, you need to download the free extension. This makes all the Paid Memberships Pro fields work correctly in the spreadsheet. They won’t be shown as simple text cells but according to their format: checkboxes, dropdowns, etc.
Now follow these steps to bulk edit post Paid Memberships Pro restrictions using WP Sheet Editor.
1- Open the posts spreadsheet
Go to WP Sheet Editor > Edit posts.
You’ll see a spreadsheet containing all your posts and their complete information. Each row in the spreadsheet is a post and each column is a field.
If you right-scroll, you’ll see the PMPRO Membership Levels column, where you find the different membership levels in a drop-down cell. If you want, you can sort columns in the spreadsheet just as you do in Excel or Google Sheets.
2- How to edit membership levels using the spreadsheet
If you want to edit the membership levels for your posts using the spreadsheet, just go to the PMPRO Membership Levels column and select the membership levels you want to add to each post.
Once you’ve selected the membership levels for all the posts you want to edit, click Save to apply the changes.
But if you don’t want to edit the membership levels using the spreadsheet, go to the next section to see how to edit hundreds of posts at once.
3- How to bulk edit membership levels
If you don’t want to edit the posts individually, you can filter hundreds of posts and edit them all at once with a few clicks.
a) Select the posts you’ll edit
You can filter the posts you’ll edit using the Search tool, which you can open with one click.
Once you open the Search tool, you can search for all your posts by keyword, author, category, tag, format, date, etc.
In this example, we’ll search for all the posts containing the Book Reviews category. Therefore, let’s do this:
- Select Book Reviews (Categories) in Enter Tags.
- Click Run Search to filter the posts.
Once the posts have been filtered, they will be displayed in the spreadsheet.
b) Bulk edit membership levels for all the selected posts
Open the Bulk Edit tool with one click.
Once you’re in the Bulk Edit tool, select the following values to assign one or several membership levels to all the selected posts.
- Select the rows that you want to update: Edit all the rows from my current search
- What field do you want to edit: PMPRO Membership Levels
- Select type of edit: Set value
- Replace existing value with this value: Select the membership levels you want to assign to the selected posts. Enter them separated by commas. We’ll enter Premium, Pro.
After applying these values, you’ll see that the membership levels have been updated for all the selected posts.
c) How to move posts from one membership plan to another
Let’s move all the posts from the Basic membership level into the Pro membership level quickly.
Open the Bulk Edit tool with one click.
Then, select the following values to move all the posts from the Basic membership level into the Pro membership level.
- Select the rows that you want to update: Edit all the rows from my current search
- What field do you want to edit: PMPRO Membership Levels
- Select type of edit: Replace
- Replace this: Basic
- With this: Pro
- Click Execute Now.
