Toolset Types is a WordPress plugin that allows you to create custom post types on WordPress, add custom fields, and create custom taxonomies. In this tutorial, you’ll learn how to export and import Toolset Types content with Google Sheets.
This is great because you can create any custom post type using the Toolset Types plugin and then export the posts to Google Sheets, edit existing posts or create new posts, and finally import the changes or new posts from Google Sheets to WordPress.
For this we are going to use two things.
First, we’re going to use the WP Sheet Editor plugin, which allows you to view and edit posts, pages, and any custom post type in an intuitive spreadsheet within WordPress.
You can download the plugin here:
Download Posts, Pages, and Custom Post Types Spreadsheet Plugin - or - Check the features
Second, we’re going to use the Google Sheets Sync service, which allows you to connect WordPress to your Google account so that you can export and import content using Google Sheets.
You can sign up to the service here:
Sign up to the Google Sheets Sync Service - or - Check the features
Once you install WP Sheet Editor and sign up to Google Sheets Sync, you need to follow the steps below to export and import Toolset Types content with Google Sheets.
1- Set up the Toolset Types spreadsheet
For this tutorial, we have created a custom post type using Toolset, which is called “Deals”.
We need to generate a spreadsheet to be able to manage this new post type.
For this, we need to go to WP Sheet Editor > Setup Spreadsheet.
Once there, we need to select the custom post type we want to view and manage in the spreadsheet we will generate, and click on Save.
We need to select the columns we want to view in the spreadsheet, and move the ones we don’t want to view in the spreadsheet to the Disabled side.
After doing that, you’ll see a spreadsheet containing the posts of the selected custom post type.
2- Connect WordPress to Google Sheets
When you sign up to the Google Sheets Sync service, you’ll get a helper plugin that will allow to connect your WordPress site to your Google account, the Google API, and the WP Sheet Editor API.
You can follow this guide to learn how to connect WordPress to Google Sheets.
3- Export Toolset custom post type to Google Sheets
After connecting your WordPress site to Google Sheets, we can proceed to export our custom posts.
We need to start by clicking on Export on the top toolbar.
Once on the Export tool, we need to select these values to export our Toolset posts to Google Sheets:
- What columns do you want to export: You can type specific column names, export all active columns, or all columns.
- Which rows do you want to export: In this case, we will export all the posts.
- What app will you use to edit this file: Select the Google Sheets app.
- Name of this export (optional): You can add a name for this export, and the Google Sheets file will inherit this name.
- Click on Start new export.
After the export process is complete, you’ll see the View Google Sheet link. If you click on it, you’ll open the Google Sheet that has been generated.
4- View and edit Toolset posts in Google Sheets
As you can see in the screenshot below, we have exported our “deals” post type, which we created with the Toolset plugin, to Google Sheets.
We can proceed to edit the Toolset data in Google Sheets, add new data to create more posts, etc.
5- Import Toolset content from Google Sheets to WordPress
Important: If you want to import Toolset content from Google Sheets, you need to keep this in mind:
- To protect your privacy, our Google Sheets Sync service doesn’t read files that have not been created with the service itself.
- In other words, the service doesn’t recognize files that were not first exported from WordPress to Google Sheets using the service.
- This means that we don’t have any access to other files on your Google account; not even to other Google Sheets files.
- To import a Google Sheets file, you’ll need to first export the info.
- Once you’ve exported it, you can edit existing data or create new data in Google Sheets.
Once you have prepared the data you want to import, you need to click on Import.
After opening the Import tool, you need to select the Google Sheets file you will import.
Select these values in the Import tool:
- Source: Google Sheets
- Google Sheet file: Select the file you’ll import here. If you don’t find it, click on “refresh”.
- Click on Next.
Now you need to select the columns you want to import.
In this example, we will Import all the columns, but you can optionally Select individual columns to import.
You need to select how you want to import the data.
In this example, we will Create new items and update existing items.
Note. If you select any option to update existing items, you need to match the rows in the Google Sheet with the rows on WordPress by using a specific field as an identifier. In this case, we will use the ID field as an identifier.
Click on Next.
Finally, you will see a preview of what the data will look like in the spreadsheet.
If everything is OK, you can click on The preview is fine, start import.
