In this tutorial, we’ll show you how to bulk add order notes in WooCommerce using an intuitive spreadsheet inside WordPress.
Here are several situations where adding an order note in bulk is really useful:
- Notify customers that the purchased product will now be delivered 3 days later due to X problem.
- Notify customers that the products have been shipped.
- Notify customers that the product could not be delivered because no one received it.
- Notifying students who have a membership that the class will be on X day.
The problem is that first, we need to know which orders we have to edit, and then we need to add an order note for the customer… to each order manually!
It will probably take you a few hours to open each order, add the note for the customer, save the changes in each order, etc.
That’s why we will show you how to bulk add order notes to the customer easily.
We’ll do it using an intuitive spreadsheet inside WordPress that allows us to view and manage our WooCommerce orders easily.

Once you install and activate the plugin on your WordPress site, you need to follow these simple steps to bulk add order notes to your WooCommerce orders.
1- Open the WooCommerce orders spreadsheet
Go to WP Sheet Editor > Edit Orders or go to WooCommerce > Orders and click Open in a spreadsheet.
You’ll see all your WooCommerce orders displayed in the spreadsheet.
2- Search for the orders you will edit
You need to define to which orders you are going to add the order note.
To do this you can select the orders manually using the checkbox picker in the first column of the spreadsheet.
Or you can also search the orders by date, cart discount, etc., using the “Search” tool in the plugin toolbar.
Once you open the Search tool, you have many options to filter / search for your WooCommerce orders.
Here we explain some ways to search for the orders you will edit:
a) Search for orders created today
- Tick the Enable advanced filters checkbox.
- Field: Date (post_date)
- Operator: =
- Value: Select today’s date using the date selector.
- Click Run Search.
After that, you’ll see all the orders created today displayed on the spreadsheet and you can go on to the next step.
b) Search for orders including a specific product
If not all products will be delayed but the DNK Purple Tshirt only (for example), you need to select these values to search for all orders containing that specific product:
- Find orders containing these products: Here you have two options:
- Enter the product(s) the order must contain to be filtered.
- Click Run search.
Now you will see all the orders containing specific products displayed on the spreadsheet and you can go on to the next step.
c) Search for orders made with discount coupons
If you want to find all the WooCommerce orders where a discount coupon was used, you need to select the following values in the Search tool:
- Tick the Enable advanced filters checkbox.
- Field: Cart Discount
- Operator: >
- Value: 0
- Click Run Search.
Now you will see the orders where a coupon was used displayed on the spreadsheet and you can go to the next step.
3- Bulk add order notes to all the filtered/selected orders
Having used any of the search filters we have explained, or any other search filter, you now need to open the “Bulk Edit” tool in the toolbar.
- Select the rows that you want to update: Depending on how you selected the orders you will edit, you may get any of these options in this field:
- Edit the rows that I selected manually in the spreadsheet
- Edit all the rows from my current search
- What field do you want to edit: Order notes
- Select type of edit: Add note
- Add note: Add your new order note here.
- Note type: You need to select if it’s a private note or a note for the customer. We’ll select Note to customer.
- Click Execute Now.
Once you’ve bulk added the order notes to the customer, your customers will get an email telling them a new order note has been added:
That was really easy!
As you see, bulk adding order notes is no problem if you use WP Sheet Editor! You can easily select all the orders you’ll edit, add the order note, and your customers will be notified by email.
