WooCommerce – How to Find and Edit Products with Low Stock

Maintaining optimal inventory levels is a cornerstone of a successful WooCommerce strategy, yet monitoring WooCommerce low stock products can be an overwhelming challenge as your catalog grows. When a client requests an urgent inventory status report or you need to identify which items have reached their restock threshold, manually scrolling through hundreds of product pages is slow and prone to errors. Failing to track depleted stock in real-time leads to backorders and lost revenue. That’s why in this guide, we will show you how to perform a comprehensive stock quantity audit and quickly update inventory levels using a powerful spreadsheet interface. You will learn how to filter your store by specific inventory quantities and perform mass stock updates in seconds, ensuring your products stay available for your customers.

If your WooCommerce store manages a high volume of SKUs, identifying which items are near inventory depletion is often a bottleneck. The standard WordPress product list lacks the advanced filtering tools needed to isolate items by specific stock numbers or perform bulk inventory adjustments without site performance lag. This is where WP Sheet Editor for WooCommerce Products becomes an essential tool for your inventory management workflow.

This plugin allows you to manage your entire catalog as if you were using a professional spreadsheet application, giving you a clear view of your product availability. You can search for items with limited stock, modify their quantities instantly, and even sync data from external suppliers via CSV, making store administration much faster.

1. Install the WP Sheet Editor – WooCommerce Products plugin

To begin optimizing your stock management, you need to install the spreadsheet editor. This tool is specifically built to handle bulk data modifications and advanced searches that the default WooCommerce interface cannot handle. It helps you maintain accurate stock counts across thousands of products and variations without individual page reloads.

You can skip this step if you already have the plugin installed and activated.

To launch the editor, navigate to WP Sheet Editor > Edit Products. You will see a spreadsheet containing all your products and their metadata, including Price, SKU, and Stock Quantity.

2. Find WooCommerce Products with Low Stock

Identifying inventory shortages is a simple process using the “Search” tool. This feature allows you to perform an inventory audit using any numerical operator. Whether you want to find items with less than 5 units or identify which products are completely out of stock, the results are displayed in the spreadsheet after applying the search filters.

A) Filter All Products by Stock Quantity Threshold

Suppose you want to generate a list of every product in your store with a stock quantity of less than 10. This is the fastest way to create a “Restock Needed” task for your warehouse team.

Open the Search tool, check the Enable advanced filters checkbox, and set the following filter:

  • Field: Stock
  • Operator: < (less than)
  • Value: 10
  • Click Run search.

B) Search for Low-Stock Items Using Keywords

If you only need to audit a specific product line—for example, “T-Shirts”—you can combine a keyword filter with your stock level query. This ensures you are only viewing relevant inventory segments.

  • Contains keyword: Type your product keyword (e.g., “Shirt”).
  • Enable advanced filters: Yes.
    • Field: Stock
    • Operator: <
    • Value: 10
  • Click Run search.

C) Filter Inventory by Category, Attribute, or Tag

Isolating low-stock variations by category or attribute is essential for niche audits. This allows you to find items in a specific “Electronics” category or items with a specific “Size” attribute that are running low.

  • Enter product category: Select your target category, tag, or attribute.
  • Enable advanced filters: Yes.
    • Field: Stock
    • Operator: <
    • Value: 10
  • Click Run search.

3. Edit the Stock of Your WooCommerce Products

Once your filtered inventory list is ready, you can proceed to update stock quantities. You have two primary ways to manage these changes:

A) Individual Inventory Updates in the Grid

The spreadsheet allows for rapid manual stock entry. Simply click on the stock cell for any row and type the new quantity. This is far more efficient than opening individual WordPress tabs for every item. Once finished, click Save on the toolbar once to apply all changes to your live WooCommerce store.

B) Bulk Change Stock for All Results

If you have received a shipment and need to set the same stock quantity for all filtered items, the Bulk Edit tool is the best solution for mass stock adjustments.

Open the bulk edit tool for WooCommerce inventory

Inside the tool, configure the following settings:

  • Select the rows to update: Edit all the rows from my current search.
  • What field do you want to update: Stock.
  • Select type of edit: Set value (or “Increase by number”).
  • Value: Enter your new stock amount.
  • Select Edit only parent products or Edit only variations.
  • Click Execute now.

4. Import Updated Stock Levels from a CSV File

If your warehouse or supplier provides a spreadsheet with updated inventory numbers, you can sync those values directly using the Import tool. This prevents manual entry errors and ensures your stock status is always accurate.

The import process includes mapping your CSV columns (like SKU and Stock) to the corresponding WooCommerce fields, ensuring a seamless inventory synchronization.
