In this tutorial, we will show you how to export and import WordPress categories with Google Sheets. You’ll learn how to easily connect your WordPress site to your Google Sheets account. Then, we will show you step by step how to export categories from WordPress to Google Sheets, and how to import categories from Google Sheets into WordPress.
We don’t need to install any browser extensions nor run any scripts. Everything will be done from the WordPress admin dashboard.
We will use the WP Sheet Editor – Taxonomy Terms plugin. It allows you to manage WordPress categories, tags and custom taxonomies using a spreadsheet.

We will also use the Google Sheets Sync service. It allows you to export and import WordPress content using Google Sheets.

This service works with all the WP Sheet Editor spreadsheets, so you can export and import categories, tags, custom taxonomies, posts, pages, products, events, downloads, etc.
You need to follow these steps to export and import WordPress categories with Google Sheets:
1- Connect WordPress to Google Sheets
When you sign up to the Google Sheets Service, you’ll get a helper plugin, which will allow you to connect your WordPress site to your Google account, the Google API, and the WP Sheet Editor API with a few clicks.

2- Export WordPress categories to Google Sheets
To export your WordPress categories to Google Sheets, you need to first open the WordPress categories spreadsheet.
If you need to generate the spreadsheet, you can follow this guide.
To open the spreadsheet, you can go to WP Sheet Editor > Edit categories.
You’ll see all your WordPress categories displayed in the spreadsheet.
Now you need to open the Export tool.
Now you need to select these values to export your WordPress categories to Google Sheets:
- Select the rows you’ll export: You can type specific column names, select all the active columns, or select all the columns.
- Select the rows you’ll export: You can export all the rows (categories) from a specific search, all the categories, or all the manually selected categories.
- Select the Google Sheets app.
- Enter a name for this export.
- Click on Start new export.
Once the export process is completed, you’ll see the View Google Sheet link. If you click on it, you’ll be able to open the Google Sheet that was generated with this export.
3- View and manage categories in Google Sheets
After exporting the categories data from WordPress to Google Sheets, you’ll be able to view and manage your categories.
You can create new categories or edit existing categories in Google Sheets. You can add new information to import it into WordPress if you want.
4- Import WordPress categories from Google Sheets
Now let’s see how to import categories from Google Sheets into your WordPress site.
Important considerations about importing categories from Google Sheets:
- To protect your privacy, our Google Sheets Sync service doesn’t read files that have not been created with the service itself.
- In other words, the service doesn’t recognize files that were not first exported from WordPress to Google Sheets using the same service.
- This means that we don’t have any access to other files on your Google account; not even to other Google Sheets files.
- To import a Google Sheets file, you’ll need to first export the info. Once you’ve exported it, you can edit existing data or create new data by adding new rows in Google Sheets.
Once you have prepared the Google Sheets file you want to import into WordPress, open the Import tool.
Next, you need to select the Google Sheets file you want to import:
- Source: Google Sheets
- Google Sheet File: Select the file you’ll import. If you don’t find it, you can click on the Refresh list button.
- Click on Next.
Now you need to select the columns you will import. You can Import all the columns or Select individual columns to import.
You need to select how you’ll import the information:
- Do you want to update or create items: You can use this dropdown file to select if you want to:
- Create new items and update existing items
- Import all the rows as new
- Only create new items, ignore existing items
- Only update existing items, ignore new items
- Note. If you select any of the options that require updating existing items, you need to match the information in the CSV with the information on WordPress. We recommend using the ID field as an identifier.
- Click on Next.
Now you’ll see a preview of what the info will look like once it’s imported. If everything is OK, you can click on The preview is fine, start import.
